A discussion about Sage 50 and Odoo should begin with the exact environment your business uses. Record the product version, hosting, connected applications and the processes that need attention before comparing possible changes.
The purpose is to build a useful evaluation brief. This is not a claim that every Sage 50 setup has the same limitations or that migration will deliver a particular saving.
Name the process that needs to improve.
Choose a process with a clear beginning and end: an order through delivery and billing, a purchase through receipt, or another sequence your team can demonstrate. Ask each person which records they need and which workarounds they use.
Separate required behavior from preferences. “We need to identify who approved a change” gives an evaluator something to demonstrate. “We need a better system” leaves the work undefined.
Decide what information must remain available.
List the records, attachments, balances and history that matter to the project. Have the responsible business and finance owners decide what needs to move and how they will check it. Keep the original records available according to the business's agreed requirements.
Ask for a migration rehearsal with representative data before agreeing to a changeover. Include corrections, incomplete records and exceptions as well as ordinary examples. Define who resolves a difference between the old and proposed records.
Compare complete proposals.
- What is handled through existing configuration, and what needs additional development?
- Which interfaces and versions have been reviewed?
- What are the licensing, migration, testing, training and ongoing responsibilities?
- Who approves access and important changes?
- How will the team decide whether the first phase is ready?
An integration, a configuration change or a different process may address part of the need. Evaluate those options alongside replacement rather than assuming the size of the project at the outset.
